Preparing a document for more than one signer.

When several people share a document, clarity comes from separating their responsibilities.

01

List the participants first

Write down who must sign and who only needs a copy. Create signer entries for the first group and CC entries for the second. A copy recipient should not receive a field assignment.

02

Work through one signer at a time

Select a signer and place the fields they need across the document. Use their preparation color as a visual cue, then repeat the process for the next signer. Check every field’s actual assignment before sending.

03

Decide whether order matters

Some agreements can be completed in any order; others depend on an internal signature first. Review the available signing-order setting against the process you intend to follow.

04

Review from the recipient’s perspective

Ask whether each person can tell what they are receiving, where they should act, and what happens next. A brief invitation message can resolve uncertainty before it becomes an email exchange.

Worth keeping in mind

A shared document works better when each participant has a clearly defined task.
